A corporate event branding checklist

Bring the invitation, arrival, stage and venue into one consistent event experience.

Event branding is more than a stage backdrop. Guests encounter the event through the invitation, arrival, registration, programme and venue. Planning these touchpoints together helps the occasion feel consistent while keeping the practical information easy to find.

Begin with the programme and guests

Confirm the event purpose, audience, date, location and expected attendance. A product launch, investor gathering and internal meeting have different communication needs. The programme should determine which branded materials are necessary.

Identify who approves the artwork and who owns the final guest information. A clear approval path reduces contradictory versions of the same schedule or venue details.

Follow the guest journey

List the materials guests encounter before, during and after the event. These may include invitations, entry signs, registration desks, directional signs, presentation slides and a stage backdrop.

Keep useful information prominent. Directions, room names and registration instructions should be easier to read than decorative elements. Consider accessibility and sightlines when placing displays.

Check the venue before production

Confirm measurements, rigging or mounting restrictions, power access and installation windows with the venue. Do not send artwork to production based only on a generic stage image.

Review the backdrop against the lighting and camera positions if the event will be photographed or recorded. Share files in the required formats and agree which version is approved for production.

Create a final handover list

Assign responsibilities for production, transport, installation, checks and removal. Keep a final asset list and contacts available to the on-ground team.

Walk through the venue before guests arrive. Check names, spelling, placement and the consistency of the visual identity. Agree how urgent corrections will be handled so small issues do not disrupt the programme.

The takeaway

Plan branding through the guest journey, verify the venue details and give every asset a clear owner and approval deadline.

Let's talk about your brief.
